This notice explains how we handle personal information when you visit whenthenwasnow.com, contact us, submit a review or arrange a journey.

1. Who is responsible for your information?

When Then Was Now is operated by Geef Je Uit, represented by Martin van Elmpt, based in the Netherlands.

Business postal address: Breedstraat 42A, 1811 HG Alkmaar, the Netherlands. Dutch Chamber of Commerce (KvK) registration number: 71452095.

Privacy contact: info@whenthenwasnow.com. You can also contact us through our contact page.

2. Information we collect

Depending on how you use our services, we process the following categories of information:

Enquiries: your name, email address and any details you include in a contact form, email, WhatsApp message or other enquiry; where relevant, your telephone number and preferred dates or itinerary.

Bookings and journeys: contact details, booking reference, group size, dates, requested services, payment and invoicing information, and practical details needed to organise your journey.

Reviews: your name, email address, the journey or experience you review, your review text, optional country and your permission to publish. Your email address is not intended for public display.

Historical or family research: documents, names, photographs, family relationships and personal stories that you choose to provide or that we lawfully obtain for an agreed research assignment. These may concern other individuals, including living people, and we handle them with particular care.

Website operation: technical information such as IP address, browser or device information, access times and security or server logs, depending on our hosting and security configuration.

Please avoid sending sensitive personal information through a general contact or review form unless it is necessary and we have discussed an appropriate way to share it.

3. Why we use information and our legal bases

Responding to enquiries and discussing possible bookings or research assignments: taking steps at your request before entering into a contract, and our legitimate interest in handling correspondence.

Organising and delivering booked tours, journeys and commissioned research: performing our contract with you.

Invoicing, accounting and complying with tax or other legal requirements: compliance with a legal obligation.

Reviewing and, where agreed, publishing testimonials: your consent to publication. Submitting a review does not mean it will appear automatically. We do not use your review submission to enrol you in a marketing mailing list.

Protecting the website, preventing misuse and keeping systems operational: our legitimate interests in reliability and security.

Non-essential analytics, advertising or tracking, if introduced: the lawful basis and consent mechanism appropriate to the technology, as explained in the cookies section below.

4. Booking platforms and payment processing

Some booking links on this website lead to FareHarbor. When you make a booking using FareHarbor, personal data necessary for the reservation are processed through its booking system on our behalf; Geef Je Uit is responsible for the use of that booking data to provide our journeys and services. FareHarbor may use other service providers, including payment service providers, to complete your booking and payment. The information required depends on the booking and payment method.

If you book through an external marketplace, such as Viator, that platform may also process information under its own privacy terms. Please review the relevant platform notices when making a booking. We receive the information necessary to deliver the booked service.

For further information about the booking service, please see FareHarbor’s privacy information and the privacy information shown during checkout.

5. Reviews and permission to publish

Reviews submitted through our website are received privately and checked before publication. We publish a review only where you have given permission to do so. We may publish your review text with your first name and, if supplied, your country. We do not publish your email address as part of a review.

You may withdraw permission for future publication or ask us to remove a published review by writing to info@whenthenwasnow.com. Withdrawal does not affect processing carried out before you withdrew it.

6. Service providers, links and international processing

We use or may engage service providers for website hosting, email delivery, online forms, IT support and security, accounting and booking management. Our website uses WordPress and Fluent Forms for its contact and review forms. Booking services include FareHarbor; if you use an external marketplace such as Viator, its own privacy terms also apply. These providers receive only the information relevant to the particular service. We do not sell your personal information.

Our website includes links to external services such as FareHarbor, WhatsApp and Substack. When you follow an external link, the destination service may process information in accordance with its own privacy notice.

Depending on the service used, personal information may be processed outside the European Economic Area. We assess such processing under applicable data-protection law and, where required, use an adequacy decision or an appropriate transfer mechanism, such as the European Commission’s Standard Contractual Clauses. You may contact us for information about safeguards relevant to your information.

7. Cookies and website analytics

The website may use functional cookies or similar technology necessary to operate WordPress, display forms, remember relevant preferences and protect against misuse. Hosting and security services may also record technical information such as IP addresses and access times. Cookies that are strictly necessary for the requested service generally do not require consent.

Where optional analytics, embedded third-party services or tracking technologies are used, we will explain their purposes and providers in an appropriate cookie notice or consent interface. We will not activate technologies that require prior consent before that consent has been obtained. External booking, social-media and newsletter websites may use their own cookies once you visit those services.

You can manage or delete cookies through your browser. If we provide a cookie-preference control, you can also use that control to change or withdraw any consent you previously gave. Declining optional cookies will not prevent you from using the essential functions of the website.

8. How long we keep information

We keep personal information only for as long as it is needed for the purposes explained here or to meet legal duties:

Enquiries that do not lead to a booking: we review these for deletion once the enquiry has been resolved and no continuing contact or other legitimate reason justifies keeping them. As a general guideline, we aim not to retain such enquiries longer than 12 months after the last substantive contact, unless there is a specific reason to do so.

Booking and service records: for the duration of the booking and as long as reasonably necessary for follow-up service, handling questions, resolving disputes or establishing legal claims. Invoices and other records forming part of our tax administration are generally retained for seven years, as required under Dutch law.

Reviews and publication consent: while the review is published or until it is removed, subject to limited retention where necessary to document consent or handle legal claims.

Security logs and technical data: for a limited period determined by the need to administer and protect the website, investigate incidents and meet legal obligations; relevant service providers may set their own operational log-retention periods.

Historical research materials: for the agreed research purpose and any continuing work, subject to the assignment terms, confidentiality, legal rights and archival considerations. Personal information that is no longer needed for a lawful purpose will be deleted or anonymised where appropriate.

9. Your privacy rights

Under the GDPR, you may have the right to access your personal information, correct inaccurate details, request erasure, restrict or object to certain processing, and receive data in a portable format where applicable. Where processing depends on consent, you can withdraw that consent at any time.

Please send privacy requests to info@whenthenwasnow.com. We may need reasonable information to verify your identity before acting on a request. You may also complain to the Dutch supervisory authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

10. Security and changes to this policy

We use appropriate organisational and technical measures to protect personal information and review our arrangements as services change. No method of internet transmission or electronic storage can be guaranteed to be completely secure.

We may update this privacy policy when our services, website technologies or legal obligations change.
